This notice explains how we process the personal data of visitors to www.kleistek.com and of people who write to us through the contact form, in accordance with Regulation (EU) 2016/679 (“GDPR”) and Italian Legislative Decree 196/2003.
1. Data controller

We have not appointed a Data Protection Officer (DPO), as this is not required for our activity.
2. What data we process
- Data sent through the contact form: name, organisation or company (optional), email address, phone number (optional) and the text of your message.
- Data sent by email or phone, if you contact us directly.
- Technical browsing data: IP address, date and time of the request, page visited, browser and operating system. These are logged automatically by the servers hosting the website, to run it and protect it from abuse.
We do not use analytics, profiling or advertising tools, and we do not sell or share data with third parties for marketing purposes.
3. Why we process data and on what legal basis
- To reply to your requests for information or quotes: processing is necessary to act on your request (Art. 6(1)(b) GDPR).
- To protect the form from spam and the website from abuse and keep it secure: our legitimate interest (Art. 6(1)(f) GDPR).
- To comply with legal obligations, such as tax and accounting rules, if a business relationship follows (Art. 6(1)(c) GDPR).
Fields marked with an asterisk are required for us to reply; the others are optional.
4. How we handle contact form messages
Messages sent through the form reach us as an email to info@kleistek.com. The website does not store them in its database and does not send automatic copies to the sender’s address. We process the data electronically, with appropriate measures to protect it.
5. Who may receive the data
- Aruba S.p.A., hosting and email provider, which hosts the website and the mailbox on servers in Italy, appointed as data processor.
- Cloudflare, Inc. – Turnstile, the anti-bot check on the contact form: it processes technical device and browser data (including the IP address) to tell people from automated programs. It does not receive the text of your message.
- OpenStreetMap Foundation – the map on the “Our clients” page loads the map images from OpenStreetMap servers, which receive the IP address and the technical browser data needed to deliver them. No cookies are set.
- Advisers (e.g. our accountant), if a business relationship follows, and public authorities where required by law.
6. Transfers outside the European Union
Cloudflare, Inc. is based in the United States. Transfers rely on the European Commission’s adequacy decision for the EU-U.S. Data Privacy Framework, in which the company participates, or on the standard contractual clauses approved by the European Commission. The OpenStreetMap Foundation is based in the United Kingdom, for which the European Commission has adopted an adequacy decision.
7. How long we keep data
- Requests that do not lead to a business relationship: up to 24 months from the last contact, after which the emails are deleted.
- Requests that lead to a business relationship: for the duration of the relationship and then for the period required by law (usually 10 years for accounting and tax records).
- Technical browsing data: for the period set by the hosting provider for server security, usually a few months.
8. Your rights
You may at any time ask us for access to your data, rectification, erasure, restriction of processing and data portability, and object to processing based on legitimate interest (Arts. 15–22 GDPR). To do so, write to info@kleistek.com.
If you believe the processing infringes the law, you may lodge a complaint with the Italian Data Protection Authority, Garante per la protezione dei dati personali (www.garanteprivacy.it).
9. Cookies
For information on cookies, see the Cookie Policy.
